What Claude for Small Business Actually Is
Claude for Small Business is a feature inside Claude Cowork. You toggle it on, connect your existing software (QuickBooks, PayPal, HubSpot, Canva, DocuSign, Google Workspace, Microsoft 365), and you get 15 pre-built workflows ready to run on day one.
The piece most people are going to miss: this is not ChatGPT in a separate tab. Claude lives inside the tools you already pay for. It reads your books, your CRM, your inbox, your contracts. Then it proposes the work.
Every action runs through human approval. Claude drafts the invoice reminder, queues the campaign asset, prepares the contract for signature. Nothing sends, posts, or pays until you say go. You stay in control. Claude does the work you don't want to.
Why this matters:
- Small businesses are 44% of US GDP and almost nobody is set up to use this yet
- The first wave of AI tools made solo founders explain what they wanted; this one shows up where the work already lives
- Approval-gated execution = no rogue agent posting to your CRM, no surprise PayPal sends, no compliance landmines
Section 2
Finance & Accounting (6 skills)
The boring back-office work that eats every Friday. Every skill below runs on top of QuickBooks and PayPal. Most owners shave one full day a week once these are running.
Payroll Forecasting
QuickBooks · PayPal
Reconciles cash position against incoming settlements, builds a rolling 30-day payroll forecast, ranks overdue items, and queues reminders for your approval. Replaces the spreadsheet you redo every two weeks.
Month-End Close
QuickBooks
Reconciles books, flags mismatches between QuickBooks and your bank, generates a plain-English P&L, and exports a close packet your accountant can actually use. What used to take two days happens before lunch.
Invoice Chaser
QuickBooks · PayPal
Cross-references QuickBooks against incoming PayPal payments, ranks overdue invoices by amount and age, drafts the reminder email, and queues it for your approval. The cash you've been bleeding into "I'll follow up Monday."
Cash-Flow Monitoring (Business Pulse)
QuickBooks · HubSpot
One dashboard for real-time cash position, sales trends, pipeline movement, and the week's commitments. Ask it "how are we doing?" and get an honest answer in 8 seconds, not a 3-hour reconciliation.
Margin Analyzer
QuickBooks
Reviews product or service margins against recent expenses and settlement data. Surfaces the SKU or service line silently bleeding you, plus the one quietly carrying the business. The decisions you should be making with this data are the ones you've been guessing.
Tax Organizer
QuickBooks
Gathers and categorizes expenses and revenue data for quarterly or annual tax prep. Generates the packet your CPA actually asks for, with receipts grouped and categorized, before they have to ask. Your accountant's favorite client overnight.
Section 3
Sales & Marketing (4 skills)
Pipeline, campaigns, lead follow-up, and the social posting you keep saying you'll get to. Built around HubSpot and Canva, with email and calendar plug-ins where it makes sense.
Marketing Campaign Builder
HubSpot · Canva
Analyzes slow sales periods in HubSpot, drafts a promo strategy to plug the gap, generates the campaign assets in Canva, and plans the timing. A full campaign brief plus visuals, ready for your sign-off, before the morning coffee is done.
Lead Triager
HubSpot
Sorts and scores incoming leads from your CRM, suggests priority follow-ups based on fit and behavior, and drafts a personalized outreach email for each. You wake up to a ranked list with reply drafts waiting in approval.
Customer Pulse Tracking
HubSpot
On-demand updates on pipeline movement and customer health. Which deals went cold, which accounts are showing churn signals, which warm leads got skipped. The "where are we at" answer you've been faking in Monday standups.
Social Media Planner
HubSpot · Canva
Identifies upcoming seasonal trends and sales windows, drafts social posts and email newsletters around them, and stages everything for approval. The marketing calendar you've been meaning to build, built for you weekly.
Section 4
Operations & HR (5 skills)
Contracts, vendors, client intake, disputes, and the daily inbox triage that swallows your morning. Built around DocuSign, Google Workspace, and Microsoft 365.
Contract Review & Routing
DocuSign · Google Workspace / Microsoft 365
Prepares agreements, sends them through DocuSign, tracks signature status, and files executed copies back to the right folder. The "where is that signed contract" tab you have open right now becomes obsolete.
Vendor & Onboarding Management
DocuSign · Google Workspace / Microsoft 365
Automates the drafting and sending of vendor agreements and independent contractor paperwork. Each new vendor gets the right MSA, W-9 request, and onboarding doc set, queued for your sign-off. No more "did I send Alex the paperwork" texts.
Customer Dispute Handling
PayPal · HubSpot
Pulls together the relevant info from PayPal and your CRM, drafts a resolution for customer complaints or refund requests, and queues it for your review. Disputes get answered the same day instead of slipping into your "deal with later" pile.
Client Intake Process
DocuSign · HubSpot · Google Workspace / Microsoft 365
Stands up an automated intake flow: questionnaires sent, agreements signed, CRM profiles created. New client lands, the system catches them, you walk in to a clean record on day one. The onboarding bottleneck most service businesses have, gone.
Internal Task Triage
Google Workspace · Microsoft 365
Scans Gmail, Outlook, Slack, Teams to flag action items hiding in your inbox and organizes a daily to-do list for your approval. The "what was I supposed to follow up on" panic at 4pm, solved before 9am.

How to Install (5 minutes)
Claude for Small Business runs inside Claude Cowork. If you don't have Cowork yet, install it first. Then toggle on the small business feature and connect each tool you actually use. You don't need every integration. Start with two.
Install Claude Cowork
Download the Claude Desktop app at claude.ai/download. Cowork is the desktop experience where Claude can see your screen, your tools, and act inside them with your approval.
Toggle on Claude for Small Business
Inside Cowork, open Settings, then Features. Find Claude for Small Business and flip it on. The 15 skills load into your skill drawer immediately.
Connect your software
Inside the same Features panel, connect the integrations you actually use. QuickBooks, PayPal, HubSpot, Canva, DocuSign, Google Workspace, Microsoft 365. Each one is an OAuth login. Two minutes per connection.
Trigger your first skill
Open Cowork. Type / to open the skill menu. Pick Invoice Chaser for the cleanest first win. Claude reads QuickBooks, ranks the overdue invoices, drafts the reminders, and stops at approval. You hit send.
Watch the approval queue, not the bot
Every skill stops at the same place: a queue of drafted actions waiting on your sign-off. Treat it like a daily inbox. Five minutes per morning to approve or edit. Same time you used to spend on one of the 15 things now running on autopilot.
Approval is the entire point. Nothing sends, posts, files, or pays without your tap. If a skill suggests something wrong, the action never happens. You can also write a quick correction back to Claude and it adjusts the next run. That's how the system gets sharper over time.
Section 6
Which Skill to Run First
Don't try to install all 15 in one sitting. Pick one. Get a clean win. Add the second tomorrow. Here's the order that pays back fastest.
Start: Invoice Chaser
The fastest path to "I just got paid money I was not going to get this week." Claude reads QuickBooks, finds the overdue invoices, drafts the polite-but-firm follow-up, queues each one for you. You approve, it sends. Cash hits the account. You are now a believer.
Setup: QuickBooks + PayPal. Wins same day.
Then: Internal Task Triage
The skill that pays compounding interest the rest of your life. Wakes up before you, scans your inbox and Slack overnight, drops a ranked to-do list on your desk before the first coffee. The skill that ends the "what was I supposed to do today" loop.
Setup: Google Workspace or Microsoft 365. Daily delivery.
Then: Lead Triager
The fastest revenue lift if you sell anything. Most small businesses have warm leads slowly cooling in their CRM right now. Lead Triager surfaces them, drafts the outreach, and stages it for approval. The leads you would have lost anyway turn into pipeline.
Setup: HubSpot. Pipeline visible in 24 hours.
Then: Month-End Close
The skill your accountant will thank you for. Run it the day before close. Walk in to a reconciled book, a clean P&L, and a packet ready for the CPA. The 2-day grind drops to 30 minutes.
Setup: QuickBooks. Wins at month-end.

Section 8
What to Avoid in Week One
Connecting every integration on day one
Two integrations beats seven. Pick the two tools you live in (most owners: QuickBooks + Gmail), connect those, run one skill, get the win. Add the next integration only when you hit a real wall.
Auto-approving without reading
The approval queue is the whole product. Read the first ten outputs of any skill carefully before you start rubber-stamping. Catch the tone or amount errors early, write the correction back to Claude, then trust it after it's earned trust.
Starting with the hardest skill
Don't make Marketing Campaign Builder your first install. It's powerful, but it's a 4-tool workflow with brand voice to teach. Start with Invoice Chaser. One tool, instant cash payoff, builds the habit of using the approval queue.
Treating it like ChatGPT
Claude for Small Business is not a chatbot. The skills are pre-built workflows that pull from your actual data and take real action. Don't ask it open-ended questions. Pick the skill, give it the inputs it needs, let it run.
Waiting until "the timing is right"
Your books will never be clean enough. Your CRM will never be tidy. Connect the tools as they exist today. Claude works with messy real data. Half the value is it surfacing the mess you didn't know you had.
